Regulatory &
Liaison with manager and law firm in selecting the right structures and overall setup for the management company and funds. Review organizational documents and assist in the setup of accounting, operations, including trading and regulatory filings, systems and processes.
Interviewing, hiring and monitoring all necessary vendors and fund services providers, such as administrators, audit and tax consultants, legal counsel, compliance advisors, technology firms and prime brokers.
Management company-accounting and bill pay management-vendor setup, pay vendor invoices, monthly bookkeeping, budgeting and forecasting. Fund Processing-daily trade processing, reconciliations, next-day break resolutions, position rebalancing, P&L reconciliations, and cash and brokerage account set up, activity management and corresponding recs. Risk Assessments-ongoing operational risk management assessments, including reviews of trade cycles, risk assessment processes, P&L reporting, and NAV reviews.
Fund - set up, maintain and review Fund accounting records against administrator prepared books and records. Develop, maintain and revise, as necessary, valuation policy. P&L reporting, monthly portfolio statistics (internal and external), internal weekly performance reporting, monthly performance estimates, and fund performance reporting. Monthly compilation of one-page statistical summaries including transparency reports detailing exposures, attribution and relevant risk statistics.
Develop policies and procedures for the establishment of a full compliance program. Oversee mock exams, anti-money laundering programs and analysis of key risk areas. Providing on-site SEC, NFA and/or CFTC inspection support services. Education and compliance training for personnel, including ongoing reviews of employee and proprietary trading, e-mails and best execution. Review of advertising and marketing materials. Assistance with Form PF, 13F, 13G, and 13H report filings as well as SEC, state and/or CFTC registrations.
Participate in investor meetings - due diligence. Process all investor inquiries and follow-up for all operational and accounting related diligence. Maintain investor database, coordinate/oversee fund subscription and redemption process. Review and distribute investor correspondence – monthly letters, performance estimates and any other investor related communications. Maintain monthly marketing material (Deck, DDQ and 1 Pager) updates, reviews and distribution.
Preparation and review of fund year-end financial statements for submission to auditors.
Laisse with fund auditors and tax preparers for engagement setup and planning through final audit issuance and related tax filings.
Pay bills, vendor setup, monthly bookkeeping, budgeting and forecasting and manage the management company regulatory filings.
Assistance with setup and review of financial operating and compliance systems and processes, e.g. internal accounting projects, operational structure, compliance calendar and financial reporting.
Oversight of business operations processes/procedural reviews, as well as drafting, and implementation. Support for systems management and associated data entry, maintenance, and reporting. Ownership of daily executive support items, e.g., calendar and email administration. Management of scheduled and ad-hoc operational and administrative business projects.
